While your ATS integration is designed to be seamless, you may occasionally encounter issues. This guide covers the most common problems and how to resolve them.
Issue 1: A job from my ATS is not appearing in FactoryFix.
If you've posted a job in your ATS but can't find it in FactoryFix, check the following:
- Wait for the Sync: FactoryFix syncs with your ATS approximately every three hours. The job may not have synced yet.
- Check Job Status in ATS: Ensure the job is set to "Active," "Live," or "Posted" within your ATS. Only live jobs will sync.
- Confirm Location: The integration currently only syncs jobs located within the United States.
- Use the Right Filters: In FactoryFix, go to Manage Jobs > Filters and select "Synced from ATS" under the "Source" dropdown to ensure you're viewing the correct list.
If you've checked these and the job is still missing after several hours, please contact your Account Manager.
Issue 2: Candidates from FactoryFix are not appearing in my ATS.
If candidates are in your FactoryFix pipeline but missing from your ATS, investigate these possibilities:
- Did you activate the correct job? You must activate the synced version of the job in FactoryFix. If you created a manual duplicate of the job, candidates who apply to it will not sync to your ATS. You can verify you're using the synced job by checking for an ATS Job ID in the job details.
- Has the candidate reached the sync trigger? Your account is configured to sync candidates at a specific stage (e.g., 'New' or 'Engaged'). A candidate will not appear in your ATS until they reach that stage in the FactoryFix pipeline.
- Is the candidate from passive outreach? Passive candidates sourced by your AI recruiter will only sync to your ATS after they have completed the screening conversation and are moved to the 'Engaged' stage.
Issue 3: I edited a job in my ATS, but the changes are not reflected in FactoryFix.
This is expected behavior. Once you activate an AI recruiter on a synced job in FactoryFix, we stop pulling updates for that job from your ATS. This is to protect your AI recruiter's specific configurations and optimization settings from being accidentally overwritten.
After a job is active in FactoryFix, all future edits (e.g., to pay, description, or AI settings) must be made directly within FactoryFix.
