Connecting your Applicant Tracking System (ATS) to FactoryFix allows you to automate your workflow, ensuring your ATS remains the system of record while leveraging FactoryFix's AI recruiters to source and screen high-quality candidates.
The process is managed with the help of your Account Manager and typically takes 1-2 business days, depending on your ATS and internal team's availability.
Step 1: Alignment & Requirements Gathering (Pre-work)
Before starting, your FactoryFix Account Manager will work with you to:
- Confirm Your Exact ATS: Verify the specific version you use (e.g., UKG Pro vs. UKG Ready).
- Define Your Workflow: Discuss how you want candidates to flow from FactoryFix to your ATS. You can choose to:
- Sync on 'Engaged' only (Recommended): Only candidates who have completed screening are sent to your ATS, ensuring you only see vetted applicants.
- Sync on 'New' and 'Engaged': Candidates are sent to your ATS immediately upon applying and are updated after screening. (Note: Some ATS platforms do not handle updates well).
- Address Compliance Needs: For strict compliance, we can configure a "Redirect" option where candidates apply directly on your ATS career page. We strongly discourage this, as it significantly increases candidate drop-off and prevents our AI recruiters from screening them for you.
Step 2: Receive Your Secure Connection Link
Your Account Manager will generate a unique and secure connection link for your company using our integration partner, Kombo. Kombo acts as a secure bridge between FactoryFix and your ATS, similar to how Stripe handles payments for e-commerce. You will receive:
- The secure Kombo Connect link.
- A step-by-step guide specific to your ATS.
Step 3: Customer Completes the Connection
Your ATS administrator will click the provided link and follow the guide to authorize the connection. This process varies by ATS:
- OAuth Systems (e.g., Lever, Bullhorn): A simple login and approval process.
- API Key Systems (Most other ATS): Involves generating API credentials within your ATS and entering them into the Kombo portal. Your ATS provider's support may be needed for this step.
Your FactoryFix team is available to assist via screen share throughout this process.
Step 4: Internal Linking & Configuration
Once you've authorized the connection, notify your Account Manager. Our engineering team will link the connection to your FactoryFix account and configure the sync settings discussed in Step 1.
Step 5: Verification (Mandatory)
This crucial final step ensures everything works as expected. Your Account Manager will work with you to:
- Verify Job Sync: Confirm that all expected, active, US-based jobs from your ATS appear correctly in FactoryFix (this can take up to 3 hours initially).
- Test Candidate Sync: Push a test candidate from FactoryFix to a synced job.
- Confirm in Your ATS: You will confirm that the test candidate appeared correctly in your ATS, including the comprehensive PDF profile containing their resume, screening conversation, and AI recruiter assessment.
This thorough verification ensures a smooth and reliable integration before you go live.
