How to activate an AI recruiter on jobs synced from your ATS

Activating an AI recruiter on a job synced from your Applicant Tracking System (ATS) is the key to unlocking FactoryFix's sourcing and screening power for your existing requisitions.

⚠️ Critical: To ensure candidates sync back to your ATS correctly, you must activate the AI recruiter on the existing, synced version of the job in FactoryFix. Do not create a new, duplicate job manually. Creating a duplicate will break the connection, and candidates who apply to it will not flow back into your ATS.

Step 1: Find Your Synced ATS Job

First, locate the correct job that has been synced from your ATS.

  1. Follow the steps in our guide: How to find and manage jobs from my ATS.
  2. Use the filters to view jobs from your ATS source and search by job title or Req ID.
  3. Verify it's the right job by checking the ATS Job ID in the job details panel.
  4. If you can't find your job, it may not have synced yet. FactoryFix syncs with your ATS every three hours. If it's still missing, contact your account manager.

Step 2: Activate the AI Recruiter

Once you've located the correct synced job, activating the AI recruiter is the same as for any other job.

  1. From the "Manage Jobs" list, click on the job.
  2. You can either click the job status toggle on the job card to activate it immediately with default settings, or click the three-dot menu and select "Edit job".
  3. If you choose "Edit job," you'll go through the standard setup flow where you can select which AI recruiter to assign and customize its evaluation, sourcing, and screening settings.
  4. On the final screen, click "Activate job".

What Happens Next?

Your AI recruiter is now active! It will begin sourcing and screening candidates for your ATS requisition. As qualified candidates are identified, they will be automatically pushed into your ATS according to your configured candidate sync settings.

Q: What if I accidentally created a duplicate job manually? A: Don't worry, it's fixable. You can use the "Add candidate to another job" feature to move any candidates who applied to the incorrect duplicate job over to the correct, synced job. Once moved, they will sync to your ATS properly. To prevent this, always find the synced version first.

Q: Can I change which AI recruiter is assigned to a synced job? A: Yes. You can edit the job at any time and assign a different AI recruiter from your team.
