Schedule interviews with your AI recruiter

Tired of the endless back-and-forth emails and phone calls just to book one interview? Your AI recruiter can now handle the entire scheduling process for you. It intelligently communicates with candidates, checks calendar availability, and sends invites, saving you hours and ensuring you never lose a great candidate to scheduling delays.

How It Works

You can trigger scheduling manually for a specific candidate or set it to happen automatically for any candidate who meets your quality bar for a job. Once activated, your AI recruiter:

  • Contacts the candidate via SMS and email to find a time that works for them.
  • Checks the availability on your connected calendar (and your team's) to avoid conflicts.
  • Sends official calendar invites to everyone once a time is confirmed.

Step 1: Connect Your Calendar (Recommended)

For the most seamless experience, connect your work calendar. This allows your AI recruiter to see your busy times and propose available slots automatically.

You can connect your calendar in two convenient places:

  • From your profile: Go to your Settings > Profile tab and click the "Connect your calendar" button to authorize your Google, Outlook, or Apple account.
  • Directly within the feature: When you use the scheduling feature—either for a single candidate or when setting up a job—you'll see a "Connect your calendar" button if your calendar isn't already connected.

Step 2: Choose Your Scheduling Method

You have two ways to put your AI recruiter to work scheduling interviews.

Method A: Manually Schedule for a Specific Candidate

This is perfect for when you've reviewed a candidate and are ready to move forward.

  1. Navigate to the candidate's profile within a job.
  2. Click the "Schedule Interview" button in the top right. (Note: This button will be disabled if the job is not active.)
  3. A window will appear where you can provide the details:
    • Type: Phone Call or On-site Interview.
    • Duration: 15, 30, or 60 minutes.
    • Interview Team: Add internal team members (they will autocomplete) or external interviewers by typing their email.
    • Scheduling Preferences: Give your AI recruiter guidance, like "Mondays and Wednesdays after 2 PM only."
  4. By default, your AI recruiter will ask for your final confirmation before sending the official invite, giving you full control. You can uncheck this box for full automation.
  5. Click "Let's go", and your AI recruiter will take over the conversation.

Method B: Automate Scheduling for a Job

For high-volume roles, you can set up automatic scheduling to engage top candidates instantly.

  1. When you post or edit a job, you'll be asked, "Do you want your AI recruiter to schedule interviews for you?" in the interview style step.
  2. Select "Yes, schedule interviews".
  3. Configuration options will appear, allowing you to:
    • Set a Star Rating Threshold: Choose which candidates your AI recruiter should contact (e.g., "Focus on strong matches" for 4+ stars).
    • Fill in Interview Details: Set the default duration, type, and interview team for this job.

The Candidate Experience

Candidates receive polite and professional messages from your AI recruiter (using the name and tone you've configured for the job) to coordinate a time. The process is conversational and designed to be fast and frictionless for them.
