(Note: This feature is for Company Admins only)
For organizations with specific hiring policies or compliance requirements, you can set company-wide permissions to control how your AI recruiters operate. As an admin, you can mandate best practices or restrict certain AI features for your entire account to ensure consistency and reduce compliance risks.
These permissions are the final word: they override any individual job configurations, settings in custom AI recruiter profiles, and instructions from ATS hashtags.
How to Access AI Recruiting Permissions
- Click your account icon/avatar in the bottom left corner of the navigation menu.
- Select Settings.
- Navigate to the Permissions tab. You will see the "AI Recruiting" section.
Configuring Your Permissions
On the Permissions page, you can set a policy for four key AI recruiting features. For each feature, you can choose one of three options from the dropdown menu.
1. Candidate sourcing strategy
This controls whether your AI recruiters can proactively source passive candidates.- User choice (Default): Recruiters can decide on a per-job basis whether to source "Active Job Seekers + Passive Candidates" or "Active Job Seekers Only."
- Require "Active + Passive": Mandates that all jobs must use passive candidate sourcing. The "Active Only" option will be disabled for users.
- Restrict to "Active Only": Forbids passive candidate sourcing. The "Active + Passive" option will be disabled for all jobs.
2. Job visibility management
This controls how your AI recruiter manages job postings on external boards.- User choice (Default): Recruiters can choose between "Optimize visibility" and "Keep original."
- Require "Optimize Visibility": Forces all jobs to use the strategic refresh feature to maximize visibility.
- Restrict to "Keep Original": Disables the "Optimize Visibility" feature, ensuring all job postings use the exact original text provided.
3. Candidate screening approach
This controls the method your AI recruiter uses to screen new applicants.- User choice (Default): Recruiters can choose between "Interview and dig deeper", "Stick to set questions", or "Skip automated screening."
- Require "Interview and dig deeper": Forces all jobs to use conversational, dynamic screening.
- Require "Stick to set questions": Forces all jobs to use a predefined list of screening questions.
- Restrict to "Skip automated screening": Disables all automated screening. AI recruiters will not engage new applicants.
4. Interview scheduling automation
This controls whether your AI recruiter can automatically schedule interviews.- User choice (Default): Recruiters can decide on a per-job basis whether to enable automated interview scheduling ("Yes, schedule interviews") or require manual review first.
- Require "Yes, schedule interviews": Mandates that all jobs use the automated interview scheduling feature.
- Restrict to "No, I'll review first": Disables automated interview scheduling for all jobs account-wide.
Saving and Applying Changes
After configuring your desired policies, click Save Changes.
Warning: Saving a new policy will immediately update all existing jobs (both active and inactive) in your account to comply. This may also terminate any in-progress AI recruiter conversations—such as passive outreach, screening, or scheduling—that conflict with the new policy. A confirmation window will appear to ensure you understand this before the changes are applied.
What Your Team Will See
When a recruiter on your team creates or edits a job, any setting controlled by an admin permission will be locked and disabled. They will see the enforced option pre-selected and will not be able to change it. A tooltip will appear when they hover over the disabled setting, explaining that "This setting is managed by your account administrator."
How Permissions Precedence Works
These permissions are the highest level of control in your account and will always take precedence.
- Custom AI Recruiters: If a user assigns a custom AI recruiter to a job, any settings in that recruiter's profile that conflict with a permission will be overridden. For example, if you have restricted passive sourcing, an AI recruiter profile set to "Active + Passive" will still be forced to operate in "Active Only" mode.
- ATS Hashtags: If a job syncs from your ATS with a hashtag that conflicts with a permission, the permission policy will win. For example, if you have restricted "Optimize Visibility" and a job syncs with the `#ff-ov` hashtag, the job will be activated with visibility optimization turned off.
