Many Applicant Tracking Systems (ATS) can post jobs and send texts. But FactoryFix isn't an ATS—we're something entirely different. We integrate seamlessly with every major ATS because we're not here to replace your applicant tracking system. We're here to ensure you have quality applicants to track.
Our integration creates a powerful, automated workflow where your ATS remains your system of record, while FactoryFix acts as your dedicated sourcing and engagement engine.
How the Integration Works
The standard integration works in two directions:
- Jobs Sync from Your ATS to FactoryFix: Your active, US-based job requisitions are automatically pulled into FactoryFix, eliminating the need to post them manually.
- Qualified Candidates Sync from FactoryFix to Your ATS: Candidates sourced and screened by your FactoryFix AI recruiters are automatically pushed into the corresponding job in your ATS.
Some accounts also have inbound candidate sync, which brings ATS applicants into FactoryFix so the AI recruiter can evaluate and work them. Inbound features are enabled account by account and are not active on every ATS connection by default.
This allows your team to manage all candidates in one place while benefiting from FactoryFix's specialized AI recruiting capabilities.
How Jobs Sync (ATS → FactoryFix)
- Frequency: FactoryFix syncs with your ATS every three hours to pull in new jobs and update existing ones.
- Initial State: Jobs synced from your ATS appear in FactoryFix as "disabled." You must activate them in FactoryFix to start the sourcing process.
- Activation is Key: Once you activate an AI recruiter on a synced job in FactoryFix, we stop pulling updates for that job from your ATS. This is intentional, as it prevents ATS changes from overriding your AI recruiter's specific configurations and optimizations. From this point on, any edits should be made directly in FactoryFix.
- Archiving: When you close or archive a job in your ATS, it will automatically be archived in FactoryFix on the next sync.
How Candidates Sync (FactoryFix → ATS)
This is where the magic happens. FactoryFix feeds your ATS with a steady stream of high-quality candidates.
- Sync Trigger: You can decide when candidates sync to your ATS. There are three options — sync on 'New' (as soon as they apply), on 'Engaged' (after they complete the AI recruiter's screening conversation), or on 'Reviewed' (after a recruiter on your team promotes them to the shortlist). We typically recommend syncing candidates only after they are 'Engaged', so your ATS isn't cluttered with unqualified applicants.
- What Information is Sent: For every synced candidate, we push a rich profile into your ATS that includes:
- Candidate name, email, and phone number.
- A comprehensive PDF profile containing their full resume, the AI recruiter's 1-5 star assessment, and the complete screening conversation transcript.
- A direct link back to the candidate's profile in FactoryFix.
- Source Tracking: All candidates are automatically tagged with "FactoryFix" as the source in your ATS, so you can easily measure the value we're delivering.
Optional Inbound Candidate Sync (ATS → FactoryFix)
When inbound candidate sync is enabled for an account:
- New applications on live synced ATS jobs flow into FactoryFix and can be scored and screened by the AI recruiter.
- When a synced job first goes live, FactoryFix can perform a one-time import of applicants already attached to that ATS job. These candidates enter New and are scored, but the existing back catalog is not automatically screened or messaged.
- Enabled integrations can also evaluate past applicants from similar ATS jobs as possible outreach targets and add strong, eligible matches to the active job's Sourcing stage.
These features can require additional ATS permissions or reconnecting the integration. Ask your Account Manager whether they are enabled for your account.
Key Limitations to Understand
- One-Way Status Sync: Candidate status changes made in your ATS (e.g., moving to "Interview" or "Hired") do not sync back to FactoryFix.
- US-Based Jobs Only: The integration currently syncs jobs located within the United States.
- One ATS Connection: Each FactoryFix organization can only be connected to a single ATS.
